Job Description

The Shared Services Benefits Supervisor will have overall responsibility for the management and the administration of all union and non-union benefits. The successful candidate will bring best practices and process improvements in administering benefits and will play a lead role in implementing all new benefit design and vendor changes. This role will have an influence in the design of the company’s benefits systems and file transmissions and serve as a resident subject matter expert. Core Job Responsibilities:•Manage the administration of all health, welfare, COBRA, pension and retirement plans (union and non-union) •Monitor, manage and evaluate the FSA, HSA plans record keeping and financial reporting systems and services to ensure recordkeepers are maintaining accurate financial records and delivering the highest quality service •Ensure compliance of benefits administration with federal and local laws•Develop and prepare all census and audit data for all benefits plans, acquisitions and divestitures•Manage a team of Analysts who will:oAudit/Reconcile enrollment eligibility and all benefits data files to ensure service providers and carriers receive accurate and timely employee eligibility dataoAnalyze, audit, reconcile and resolve benefit and data file issues to ensure compliance with all benefit programsoResolve company employee and system issues and interface with Human Resources on all benefit related issues. Research and respond to complex employees and leaders regarding the interpretation of benefits plansoManage annual preparation and accurate, timely delivery of annual 1095’soManage invoices and facilitate payments to all providers and insurance carriers (includes audit and supplier set ups)oVerify accuracy and ensure timely submission of funding requests for monthly premiums, and pension contributions• All aspects of open enrollment data and system activities•Manage the onboarding of new acquisitions, new vendor and interface file implementations with Legal and VP of Benefits•Establish and maintain relationships with key Corporate and Divisional personnel•Interacts regularly with employees, HR leaders, Payroll, HRIS, and benefit vendors to facilitate enrollment, termination, and changes to benefit elections•Serve as a point of contact for employee questions related to eligibility, enrollment, claims escalation, insurance coverage, and general queries•Work with HR & Finance on a regular basis to assure complete coordination of pay, benefits, and deductions •Manage and oversee preparation of internal and external audits•Manage preparation of relevant management reports including weekly, monthly, quarterly and year-end reports •Act as a point of contact for SGWS and with external vendor partners to resolve benefit issues and ensure timely resolution; hold vendor partners accountable for meeting SLAs •Special projects as needed
Required Skills:•Minimum of 5 years’ experience in a leadership role, preferably in a Shared Services/Total Rewards Environment•Experience developing, administering, and implementing benefits and a benefits system•Demonstrated ability to independently manage work load and efficiently allocate time in a fast-paced work environment•Must be proficient in Excel and demonstrate working knowledge by taking a brief test•Must possess a mindset of continuous improvement: identify, recommend, and improve current processes•Must be able to work effectively as part of a team and can also work independently to multi-task in a fast-paced, deadline-driven environment•Excellent analytical, problem-solving and critical thinking skills•Strong proficiency and knowledge of SAP or comparable HRIS System•Ability to manage multiple projects and tasks concurrently •Working knowledge of the accounting side of payroll and benefits (e.g. deductions, accruals, journal entries, reconciliations, etc.) Leadership Skills:•Accurately assesses the strengths and development opportunities of current team members and works with Manager and employees to create development plans •Provides opportunities for team members to learn new skills and expand knowledge •Provides regular and timely feedback on performance, addressing limitations and/or underperformance and celebrating successes•Creates an environment in which individuals can succeed, want to do their best and have a clear understanding of how they contribute to the organization•Encourages individuals to generate ideas, strategies and solutions while facilitating implementation of the best solutions•Learns and teaches best practices and shares information/ideas for continuous improvement
