Primary duties of the Accounting Assistant/Main Office Receptionist include, but are not limited to the following: Serving as the Departmental Bookkeeper performing accounts payable activities which include processing all small purchase vouchers, purchase order invoices, travel reimbursements, personal reimbursements, JV’s, IDT’s, purchase requisitions, office supply orders, Marketplace Orders, receiving reports and is the department travel reimbursement specialist. Providing support to over 40 faculty, more than 900 undergraduate students and over 300 graduate students. Reconciling assigned projects with University financial records. Maintaining all accounting records and files for assigned projects. Providing guidance to faculty and staff on purchasing policies and procedures. Understanding University accounting policies and procedures, especially those relating to purchasing and travel. Work requires the exercise of considerable judgment to insure that transactions are in accordance with correct accounting and budget procedure. Interpreting and analyzes guidelines, rules, regulations, policies and procedures relating to University, State and Federal accounting principles.
Train faculty and staff on Accounting and Travel principles and processes. Serving as the Main Office Coordinator and Receptionist. This includes being first point of contact for all departmental inquiries, distributing mail, package delivery and shipment, maintaining office supplies and inventory, management of office equipment, conference room reservations, and other general office duties.
Other Work/Responsibilities Compose administrative and financial reports as needed. Other special projects as needed by Supervisor.
High School Diploma or equivalency and one year of related office experience; or equivalent combination of training and experience.
Departmental Required Skills Proficient in Excel and Word (or similar software). Strong decision-making, analytical and communication skills (verbal and written) and the ability to multi-task and prioritize work. Ability to work independently and as a team member and have strong customer service skills. Strong understanding of general accounting principles, internal controls and best practices for business purposes.
Preferred Experience, Skills, Training/Education Proficient with PeopleSoft 8.9 Financials system. Proficient in MarketPlace system. Proficient in NCSU’s Travel Authorization and Reimbursement System. Knowledge of NCSU internal processes. Candidate should be detail-oriented and self-motivated.
