Candidate Specification

We invite applications from candidates with the following experience:

* Degree or diploma in business administration or information management from an accredited university or college, is preferred
* 2 to 5 years in a document control position
* Understanding of principles, practices and procedures of automated and manual document control, including access and version control, identification and classification, storage and retrieval
* Excellent interpersonal skills with an ability to interact and coordinate with staff at all levels of seniority
* Demonstrated attention to detail and accuracy, as well as strong organizational and administrative skills
* Must be sensitive to time deadlines and ensure that work is accomplished in the time frames required
* Excellent command of the English language, written and verbal
* Competent in MS Office applications including Excel
* Ability to quickly learn corporate systems' processes and procedures
* Ability to easily multitask between multiple projects
* Demonstrate initiative and personal desire for project success
* Working knowledge of SharePoint and ProjectWise an asset, but not a necessity
* Experience with Adobe Bluebeam would be preferred but not required

Job Description

We are hiring a document controls specialist to be based in our office in New York City office. Responsibilities include, but not limited to:

* Management of incoming and outgoing documents including tracking, distribution, and delivery
* Coordination of deliverables with a view to time-sensitive deadlines
* Ensure compliance with contractual requirements for document management, design deliverables, configuration control and document-related quality assurance and best practice
* Troubleshoot and resolve document control queries raised by team members
* Ensure the project team is innovative, results-oriented, and proactive by monitoring and routinely assessing team needs and organizing and initiating process improvements
* Facilitate SharePoint project sites creation, customize SharePoint content, and setup SharePoint groups and permissions
