Reporting to the Departmental Administrator/CFO, the Director of Finance and Business Planning for the Department of Otolaryngology-Head & Neck Surgery oversees budgeting and financial operations in the Department. As a member of the Department s administrative leadership team, he/she will participate in business planning and finance-related decision-making and will drive forward efforts to consider new business lines and opportunities. He/she will also supervise Finance office personnel; review and approve financial transactions; oversee the monthly, quarterly, and annual closing process; create and distribute monthly reports and physician-level P&Ls; oversee clinical revenue reconciliation; prepare the annual budget; monitor actual results to budgets; and prepare business plans and manage the joint hospital budget. This position is a hands-on finance management position that plays a substantial role in partnering with departmental leadership while simultaneously requiring attention to day-to-day transactions and regularly performed analyses. Responsibilities Develop business plans to support the justification of faculty recruitments and sustainability of new business opportunities. Advise departmental leadership on financial implications of new opportunities. Manage joint budget and collaborative financial planning efforts with the faculty practice organization and hospitals. Direct department s annual budgeting process. Prepare budget analyses and projections, incorporating centrally provided parameters and assumptions, and present a comprehensive budget to Department Administrator/CFO for review. Coordinate budget preparation and submission with liaison(s) in central finance office. Participate in the preparation of budget narrative/justification statements. Track all funding sources and provide ongoing reconciliation of revenue at a line-item level. Monitor expenses. Prepare and present monthly P&L statements and other financial reports. Play a key role in determining and implementing mechanisms for allocating shared expenses to appropriate programs or providers. Partner with the Department s Revenue Cycle Director, Director of Practice Administration, and Director of Administrative Affairs to review ad hoc information requests and analyses, and to discuss exceptional inquiries/decisions that routinely arise (e.g. large equipment purchases or complex refund requests). Partnering with Revenue Cycle Director and Director of Practice Administration, create and present reports that capture clinical performance metrics, and advise faculty providers and departmental leadership based on data and projections. Oversee the accounting and financial management of all clinical and non-clinical funding. Supervise financial analyst(s) involved with grants and sponsored project management and oversee regular reconciliation and closing processes. Oversee procurement and accounts payable operations in the department. Supervise staff involved in the procurement process and work closely with other departmental supervisors to ensure that all staff engaged in procurement and accounts payable activities are properly trained and that purchasing takes place smoothly and in a compliant manner. Act as the department s primary approver of most financial transactions, including purchase requisitions, invoice payments, employee reimbursements, pcard purchases, journal transfers, and salary distributions. Serve as the departmental expert resource on financial transaction process as well as policy compliance and good accounting practices. Arrange coverage for financial functions during staff absences as needed. Work closely with various central finance offices within the University. Ensure compliance with all internal and external regulations, guidelines and deadlines. Minimum Qualifications Bachelor's degree or equivalent in training, education and/or experience plus at least five (5) years of related experience. Preferred Qualifications Minimum five (5) years of experience in a large complex academic medical setting; accounts payable or related processing/coordination functions essential; strong analytical and organizational skills; strong interpersonal skills in order to deal effectively with varied internal clients, management groups and vendors; ability to analyze and coalesce data from multiple systems and present it in a straightforward format; ability to identify solutions to complex problems; cutting edge skills with financial systems including spreadsheet preparation and presentation; self-starter with ability to manage multiple priorities in a fast-paced environment and work independently. Excellent customer service skills. Experience driving the design and creation of new programs or initiatives is desirable.
